Help & Support

Need a person? Email support@billy-qr.com and we will get back to you within seven business days.

It helps if you tell us your iPhone model, your iOS version, and — if a printed label is misbehaving — the label code shown on screen when you scan it.

Getting started

Creating an account

Open BillyQR and choose Create Account. After you enter your email address and a password, we email you a six-digit verification code. Type it into the app to confirm the address, and you are in.

The code arrives from noreply@billy-qr.com. If it has not appeared within a few minutes, check your spam or junk folder first — that is where it goes nine times out of ten.

I forgot my password

Tap Forgot Password on the sign-in screen and enter your email address. We send a reset link to that address. The link opens a page where you choose a new password, and you can then sign in with it.

Adding your first piece of equipment

From the home menu choose Add Equipment. The only field you have to fill in is the name — everything else is optional and can be added later. Useful ones to fill in now are make, model, year and serial number, because those are what the search box looks through.

Pick a Type, then a Category, then a Sub-Category if one applies. Some categories have no sub-categories, which is normal.

Lists

Lists group equipment however suits you — by property, by building, by vehicle, by client. If you have not created one yet, the equipment form offers an Add List button so you can make one on the spot. Once at least one list exists, that becomes a picker instead.

To rename or delete a list, go to My Lists from the home menu. Deleting a list does not delete the equipment in it.

Service reminders

How reminders are worked out

There are two ways a piece of equipment gets a due date:

The Reminder setting on the equipment form controls how much notice you get, and shows you the exact date the reminder will arrive before you save.

The wrench icon

A green wrench means the equipment has been serviced and is not yet due. A red wrench means it is overdue. No wrench at all means no service interval has been set, so there is nothing to be due.

I am not getting reminders

Almost always this is the notification permission. Open the iOS Settings app, find BillyQR, tap Notifications, and make sure Allow Notifications is on.

Also check that the equipment actually has a service interval or a scheduled visit set, and that the due date is in the future — a date that has already passed does not generate a reminder.

I got a new phone. Do I lose my reminders?

No. Sign in on the new phone and allow notifications when asked. Your equipment and service dates sync down, and the app schedules the reminders again on that device. You do not need to re-enter anything.

QR labels

Printing and attaching a label

Open a piece of equipment and choose QR Code. From there you can share or print the label. Stick it somewhere on the equipment that stays dry and does not get scrubbed — the side of a water heater, the inside of an access panel, the frame of a machine.

Scanning a label

Use Scan QR Code from the home menu, which opens the equipment straight away. You can also scan with the iPhone Camera app; that opens the same record as long as BillyQR is installed and you are signed in.

I scanned a label and nothing happened

Three things to check, in order:

  1. BillyQR is installed on the phone doing the scanning, and you are signed in.
  2. You are signed in to the account that owns the equipment. A label only opens for the account it belongs to.
  3. The label is clean and undamaged. If the printed code is scuffed, print a fresh one from the app.

If the label opens a web page instead of the app, the app is not installed on that device — that page is the fallback.

Photos, documents and videos

What you can attach

Type Formats Size limit
Photos JPEG, PNG, HEIC 20 MB each
Documents PDF, Word, Excel, plain text 25 MB each
Video MP4, MOV 100 MB each

If a file is refused, it is one of those two reasons: the format is not on the list, or the file is over the limit. The app checks before uploading, so you find out immediately rather than after a long wait.

Deleting an attachment

Deleting a photo, document or video in the app removes it from your device and from our storage. It is not recoverable afterwards, so save a copy first if you might want it.

Your account and your data

Using more than one device

Sign in with the same account on each device. BillyQR syncs when you open the app and when you return to it from the background, so a change made on one device shows up on the other shortly after you open it there.

Does it work without a signal?

Yes. Your equipment and service records are stored on the device, so you can look things up and add records in a basement or out on a site with no coverage. Everything syncs when you are back online.

Who can see my data?

Only you. Records are locked to the account that created them on the server, not just hidden in the app. The full detail is in the privacy policy.

Deleting your account

Go to Profile & Settings and choose Delete Account. This permanently removes your profile, all equipment and service records, and every file you uploaded. It cannot be undone.
